What is Card on File?
When you choose split payment for your booking, our system now securely saves your card details to ensure the club receives payment correctly. Furthermore, clubs that you have authorized to save your card at, with your consent, are able to conduct transactions from their side. These include charging for products in the store or even when signing you up for a clinic/tournament.
How It Works
You authorize your club to charge your stored cards in two ways:
- Through the club's homepage in the Playtomic app, where you can enable Card on File.
- By checking a box during checkout when making a payment.
Once authorized, your card is securely stored and ready to use for future charges.
For Booking Creators
When you create a booking with split payments:
- A valid card on file is required, even if you plan to use Apple Pay, Google Pay, or other options
- Your saved card acts as a backup to ensure your booking isn’t left unpaid
- If any other players don't pay their shares, your saved card will be charged for the outstanding amounts
For Other Players
If you're joining someone else's split payment booking:
- You have until 2 hours after the match ends to pay your share
- You'll receive payment reminders to help you stay on track
- Multiple payment options remain available to you
Managing Your Consent
To manage your card on file settings:
- Go to your user profile, click on the top right menu and navigate to "Your payments"
- Select Payment methods
- Choose which clubs can charge your card
- Review or remove stored cards

Before the Match
- 1 hour before kickoff: All players receive notifications about any incomplete payments
- This gives everyone a final chance to settle their shares before the game
After the Match
- 2 hours after the match ends: Payment deadline for joining players
- If payments are still missing, the booking creator's card will be charged
The booking creator receives notifications about any failed charge attempts, keeping them informed throughout the process.
Important Things to Remember
- Card Protection: You cannot remove your saved card if you have upcoming split-payment bookings that haven't been played yet
- Backup Responsibility: As the booking creator, your card serves as the ultimate guarantee for payment

What is the Card on File guarantee mechanism?
It's a system where the booking creator must keep a valid payment card on file to ensure full payment for split-payment bookings. If other players don't pay their shares within 2 hours after the match, the system automatically charges the booking owner's card.

To ensure clubs receive full payment for split-payment bookings while maintaining a positive user experience. It protects clubs from unpaid shares when players don't settle their portions of the booking.
Do I need to have a card on file even if I use other payment methods?
Yes. Even if you pay your share with alternative methods (Apple Pay, Google Pay, club wallet, Bancontact, iDeal, etc.), you must still store a valid card on file as a guarantee.
When will my card be charged?
Your card will only be charged if other players haven't paid their shares within 2 hours after the match ends. The system will first notify all players with unpaid shares before attempting to charge your card.
Can I remove my card on file?
You cannot remove all your cards on file if you have any upcoming split-payment bookings that haven't been played yet. This ensures the guarantee mechanism remains in place.
Will I be notified before my card is charged?
Yes. You'll receive notifications:
- When creating the booking
- One hour before the match if there are unpaid shares
- Before any automatic charges
- After any failed charge attempts
What happens if my card expires or is compromised?
You'll need to contact support if you need to remove a compromised card. You may be required to add a replacement card first if you have upcoming split-payment bookings.
What if some players pay after the match but before the automatic charge?
The system will only charge your card for the remaining unpaid portion. It always checks the real-time payment status before attempting any charges.
What happens if all charge attempts fail?
If all retry attempts fail over the 7-day period, the booking will remain partially paid, and the club will need to handle the remainder manually.
Can clubs charge my card directly?
No. Only the system can automatically charge your card under the specified rules. Clubs cannot initiate charges themselves using your stored card.
- Why do I see multiple charges or charge attempts for a single match?
The first charge you will see corresponds to your own fee as the booking owner. Then, if other players do not pay their share on time (within 2 hours after the match), additional charges will be made for each pending fee. For example, if 2 players did not pay, you will see 2 more charge attempts in addition to your initial charge. This happens because the system processes each fee independently.
- What happens if I dispute a Card on File charge related to pending fees from other players?
If you dispute an automatic charge related to unpaid fees from other players, Playtomic will automatically create a debt in your account for the total amount of those pending fees. While you have an active debt, you will not be able to make new bookings. To continue using Playtomic, you will need to pay the debt from the app. Remember that by accepting the Card on File, you authorized its use as a guarantee to cover fees from players who do not pay on time.
